1. Information We Collect

When you use Servinix, we collect information you provide directly (name, email address, phone number, company name, and payment details), information generated by your use of the service (service records, GPS location data, customer communications, work orders, and invoices), and technical data (IP address, browser type, device identifiers, and usage logs).

We also receive data from third-party analytics services including Google Analytics 4 (GA4), Microsoft Clarity, and PostHog. These services collect anonymised interaction data to help us improve the product. Each service operates under its own privacy policy.

2. How We Use Your Information

We use collected information to:

• Provide, operate, and improve the Servinix platform
• Process payments and send transaction confirmations
• Send service updates, onboarding emails, and product announcements
• Analyse usage patterns to improve features and user experience
• Comply with legal obligations and enforce our Terms of Service
• Respond to support requests and customer inquiries

3. GPS and Location Data

Servinix collects GPS location data from vehicles equipped with our tracking devices. This data is used solely to provide fleet tracking features to you and your business. We do not sell GPS data to third parties. Location data is retained for 12 months and then permanently deleted unless you request earlier deletion.

4. Data Sharing

We do not sell your personal information. We share data only with:

• Service providers who help us operate the platform (cloud hosting, payment processing, SMS delivery)
• Analytics providers (GA4, Clarity, PostHog) for product improvement — these receive anonymised or aggregated data only
• Legal authorities when required by law

5. Your Rights (GDPR)

If you are located in the European Economic Area, you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data ("right to be forgotten")
• Object to or restrict processing of your data
• Data portability — receive your data in a machine-readable format
• Lodge a complaint with your local data protection authority

6. Data Retention

We retain account data for the duration of your subscription plus 90 days after cancellation, after which it is permanently deleted. You can request earlier deletion by contacting us. GPS location history is retained for 12 months. Anonymised, aggregated analytics data may be retained indefinitely.

7. Security

We use industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, and regular security audits. No method of transmission or storage is 100% secure. We will notify you promptly in the event of a data breach that affects your personal information.

8. Cookies

We use first-party cookies for session management and third-party cookies from GA4, Clarity, and PostHog for analytics. You can opt out of analytics cookies via your browser settings or by contacting us. Core platform functionality does not require analytics cookies.
